With regard to the handling of personal information (including specific personal information), the Ehime Wood Products Market Development Council (hereinafter referred to as the “Council”) has stipulated the following policy on the protection and appropriate handling of personal information.
Compliance with Laws and Regulations
The Council strives for fair business execution and complies with all relevant laws and regulations in Japan, such as laws governing the protection of personal information and the laws governing the use of numbers to identify specific individual persons with regard to government procedures.
Fair Acquisition of Personal Information
The Council acquires personal information in a legal and fair manner.
Purpose of Use of Personal Information
The Council uses the acquired personal information within the scope disclosed publicly for the purpose of improving production and sales structures and developing markets for reliable wood products produced in the prefecture.
Sharing of Personal Information
When working in cooperation with the constituent members of the Council and Ehime Prefecture, the Council may share the acquired personal information; however, in this case, the Council will responsibly manage the personal information.
Provision of Personal Information to a Third Party
Except when sharing personal information with its constituent members and Ehime Prefecture, as well as when permitted under the relevant laws and regulations, the Council will not provide personal information to any third party without obtaining the person’s consent in advance. With regard to specific personal information, the Council will not provide such information to a third party irrespective of the person’s consent, except within the scope permissible under the relevant laws and regulations. If outsourcing part of the Council’s operations is necessary, the Council may provide part of the personal information to the outsourcing company; however, in this case, the Council will appropriately supervise the outsourcing company.
Appropriate Management of Personal Information
With regard to personal information, the Council strives to retain such information as the latest and most accurate version to the extent possible within the scope of the purpose of use. With regard to management, the Council gives full attention to safely manage and avoid leaks, loss, or damage to the personal information.
Disclosure, Correction, Addition, Deletion, and Suspension of Use of Personal Information
With regard to a specific individual’s personal information, if the person requests the disclosure of personal information or requests the correction, addition, deletion, or suspension of use of the information, the Council will promptly respond by following the prescribed procedure. With regard to specific personal information, if the purpose of use has been achieved and if the retention period stipulated in the relevant laws and regulations has passed, the Council will appropriately and promptly delete or dispose of the information.
Response to Complaints on the Handling of Personal Information
With regard to complaints on the handling of personal information, the Council will appropriately and promptly respond.
Improvement of the System and Staff Education toward the Personal Information Protection
To protect personal information, the Council improves the appropriate management system and strives to staff member awareness.
